Viva Energy is in the midst of one of the biggest transformations our business has seen. The Viva Energy Retail team is working to build Australia’s largest Convenience Retailer - with an expansive footprint, an amazing customer offer and a highly engaged team.

Energy is a critical input and significant cost for our Retail business which includes a network of over 700 “Express” fuel and convenience stores nationally. We are continually looking for ways to improve how we purchase and consume energy, and to reduce the greenhouse emissions associated with it.

Job Description

This is a newly created but pivotal role to set up and manage the end-to-end processes for our Express network energy budgeting, invoicing, data management and reporting. This role will sit between our accounts payable function and key business stakeholders.

The role will involve;

  • Managing energy (electricity and natural gas) budgeting and spend at a site and network level
  • Managing load and electricity consumption data at a site and network level
  • Consolidating energy invoice information into a central database
  • Validating vendor invoices and ensuring accuracy to contracted prices
  • Leading energy retailer communications and escalations, including account openings/closures/outages
  • Partnering with Accounts Payable to ensure on time payments and issues resolution, including the provision of regular payment files and accruals.
  • Creating usage, spend and emission dashboards and other presentations to be able to report to Express Operations and our broader business on a periodical basis
  • Providing energy data to support business energy efficiency project development and post-implementation tracking
  • Providing timely and accurate energy reporting to Viva Energy Group to support emissions reporting and energy procurement activities
  • Compiling supplementary data (refrigerants, fuel use) required for Viva Energy Group emissions reporting
  • Maintaining process documentation and database controls to satisfy external Auditor requirements

In the short term, this role will lead the transition of energy vendor accounts and the establishment of processes to shift from the current 3rd party service provider to an in-house management model.

In the longer term, this role is about making things efficient, keeping the lights on and shining a light on our network energy and emissions performance.

We would encourage this team member to bring ideas for process optimisation through streamlining and automation.

The ideal candidate will have experience in a similar role where they have demonstrated the ability to manage large quantities of data and generate reporting.

Qualifications

To be successful in this role you will have;

  • Experience managing large quantities of data
  • Experience generating reports
  • Experience building models and dashboards (Power BI would be a bonus)
  • Good interpersonal skills and stakeholder management skills
  • Good communicator
  • Strong attention to detail
  • An understanding of electricity and natural gas invoicing/vendors (desirable)
  • Familiarity with the accounts payable component of Enterprise Resource Planning (ERP) systems such as SAP or Dynamics 365 (desirable)
