CBIS Coordinator - Administration

The Position

CSIRO Business and Infrastructure (CBIS) is seeking a Coordinator - Administration to oversee and coordinate the delivery of consistent administrative and support services by the administrative services staff (reception, stores, fleet and general admin). In this role, you will take a lead role in managing and coordinating the collection and collation of information, preparing reports on business unit performance, and making recommendations to improve efficiency, cost management and service delivery.

Your duties will include

  • Liaising with clients to determine needs, providing tailored solutions and taking personal responsibility for client satisfaction.
  • Drawing on your technical expertise to lead a range of support activities/functions, or be responsible for a number of smaller projects.
  • Supporting the delivery of effective facilities management by providing records management oversight services to the State / Region.
  • Promoting records management processes and procedures for the department to ensure technical information, documentation and drawings are developed, maintained and controlled to best practice standards.
  • Contributing to contractor compliance management by proactively obtaining contractually-required records including condition reports, documentation and drawings from contractors and/or managers.
  • Undertake a broad range of property-related administrative activities to a high standard, in support of the CBIS site, state or regional team.

Location:      Sydney (North Ryde or Lindfield), NSW
Salary:          AU$97K- AU$105K plus up to 15.4% superannuation

To be successful you will need

  • The ability to influence individuals and teams, without direct authority, in order to ensure consistency of processes and practices.
  • Experience in the coordination and administration of work flows in a high-volume facilities maintenance environment, including:
    • Advanced abilities in Microsoft Excel, particularly for use in the development of custom solutions and analytics.
    • A working knowledge of the remaining Microsoft Office suite of programs.
    • Strong organisational skills, including the ability to manage competing priorities, co-ordinate with others and follow strict timelines in order to meet deadlines
    • The ability to quickly adapt to changing work environments, systems and processes whilst committing to and promoting a continuous learning environment.
  • Experience in technical records management and document control, ideally in a facilities management context.
  • Experience developing processes and procedures (preferably related to facilities maintenance), including a working knowledge of best practice management standards.
  • High-level interpersonal, communication and liaison skills coupled with the ability to work effectively in a highly interdependent team environment.
